Sales (orders, assignments, delivery)
Registering sales orders, recording shipments, working through assignments, and creating and issuing delivery notes and completion reports — plus where sales ends and accounting takes over.
What sales covers
The Sales category of a work space covers everything from issuing an estimate to delivering the work.
The sequence is: create and issue an estimate → register the sales order → ship → work through the assignment → issue the delivery note or completion report.
From the invoice onwards, accounting takes over. Revenue, receivables, and payment matching are recorded on the accounting side, so recording a shipment alone does not book revenue (that would double-count it against the invoice). See Accounting (Journal & Ledger) Guide for those steps.
The Estimates menu is documented together with copy retention in Copies of documents you issue.

Registering a sales order
- Press "New sales order" on the Orders tab of Sales orders
- Enter the customer, item (product), quantity, order date, requested delivery date, and note
- Press "Register"
- The customer can either be picked from your partners or typed straight into "Customer name (manual)". You can register an order for a counterparty that is not in the partner list yet
- The item is chosen from your inventory items, limited to finished goods (products)
- Order numbers are assigned automatically in the form
SO-0001
The list has the following columns.
| Column | Content |
|---|---|
| Order No. | Click it to open the edit dialog |
| Customer / Item | The counterparty and item you chose |
| Quantity / Shipped / Open qty | Open qty = quantity − shipped |
| Requested date | The date it is due |
| Status | One of the values below |
| Status | Meaning |
|---|---|
| Open | Some quantity has not shipped yet |
| Shipped | The full quantity has been shipped |
| Cancelled | The order was cancelled |
- The search box matches the order number, customer name, item name, and item code
- The ⋮ menu on each row offers "Ship" (only while the order is open), "Edit", and "Delete"
- The edit dialog also lets you correct the shipped quantity and the status
Recording a shipment
- Choose "Ship" from the ⋮ menu of a row whose status is "Open"
- Enter the shipment quantity (the open quantity is prefilled) and the shipment date
- Press "Ship"
- One inventory movement (issue) is created and inventory decreases
- The open quantity drops accordingly, and the status becomes "Shipped" once everything has gone out
- Revenue and receivables are not booked here. They are booked by the invoice
Viewing assignments
The Assignments tab lists the projects you are assigned to, with columns for project, partner, status, tasks, and the date you joined.
- The search box matches the project name, partner name, and your role
- The checkbox on each row lets you select several rows
- Right-click a row (or use the ⋮ menu) and choose "Create delivery note" to open the form with that project already selected
Creating a delivery note or completion report
"New delivery note" on the Delivery notes tab opens the form. Both document types share one form; you switch between them with the Type field.
| Field | Notes |
|---|---|
| Type | Delivery note / Completion report |
| Project | Optional — a document can stand on its own |
| Customer master | Optional. Picking one copies its name into Customer name |
| Customer name | Required |
| Title | Required |
| Issue date | Required |
| Line items | Item / work description, quantity, unit. Rows can be added and removed |
| Note | Optional |
Line items carry no amounts. Pricing belongs to the invoice.
The list can be filtered by type (delivery note / completion report). You can also select rows with the checkboxes and delete them from the bulk actions menu.
Issuing stores a copy
Choosing "Issue (store a copy)" from the row's action menu stores the PDF as it stands at that moment as a copy in Evidence storage.
- Delivery notes and completion reports have no draft state, so issuing is an explicit action
- If you correct the document and issue it again, the earlier copy stays and a new copy is added on top
- For searching and exporting those copies, see Copies of documents you issue
After delivery comes accounting
Once the work is delivered, issue the invoice from Receivables in accounting. Booking revenue and receivables and matching payments happen there. The bookkeeping side is covered in the Accounting (Journal & Ledger) Guide.
