Members and Invitations

How to invite members to a business space for collaboration, the permissions of each role (OWNER / ADMIN / MEMBER), removing members, and transferring OWNER.

What Are Members

A business space can be used by multiple people. You invite members and collaborate with permissions based on their role.

  • A personal space is for you alone. You cannot invite members
  • The number of accounts and members is free and unlimited. Billing is per space, and invited members incur no cost

Roles

RoleWhat they can do
OWNERFull control of the space. Invite members, change roles, billing, delete the space. One per space
ADMINRead/write business data, invite members (ADMIN and below), view audit logs (read-only)
MEMBERView and enter data relevant to them (attendance, expense claims, their own payslips, etc.)
  • A plugin may define its own roles (e.g., Hiring Manager). When you uninstall that plugin, the corresponding role is disabled
  • More fine-grained custom roles will be added over time

Inviting a Member

Only OWNER and ADMIN can invite.

  1. Open Space settings → Members
  2. Enter the invitee's email address and role, then send the invitation
  3. The invitee receives an invitation link (links have an expiration date; if it expires, resend it)
  4. When the invitee opens the link, logs in (or signs up as a new account) and accepts, they become a member

The invitation link is tied to the email address it was sent to. Even if a third party obtains the link, they cannot accept it with a different account.

From the "Pending" list, you can resend or cancel invitations.

Changing Roles and Removing Members

Use the menu for each member under Space settings → Members.

  • Change role: The OWNER (and some ADMINs) can change it
  • Suspend access: Temporarily disable a member (can be re-enabled later). Used during leave-of-absence or resignation procedures
  • Remove: Revoke membership. After removal, the space's data is no longer synced to that person's device and is no longer visible to them (via row-level access control)

All of these operations are recorded in the audit log.

Transferring OWNER

There is one OWNER per space. When stepping down or handing over, transfer the OWNER role from Space settings. Transfers are always performed through an explicit action.

External Collaboration (Advisory Tax Accountants, Labor Consultants, etc.)

You can also invite external collaborators (such as advisory tax accountants and labor consultants) with a limited role and scope. You can allow access only to the business data they need and keep everything else hidden.
